Trade Information Guide and Terms
Stall Options
Exhibitors may choose from the following stall types:
1. Bare Space / Customised Booth
For exhibitors who wish to design and construct their booth independently:
- Design and construction materials must be arranged by the exhibitor.
- Only power connection will be provided by the organizers.
2. Octonorm / Shell Scheme Booth
For exhibitors requiring a standard setup provided by the organizers, with scope for additional
branding.
Includes:
- 1 table and 2 chairs
- 1 waste paper basket
- Fascia board with company name and booth number
- 3 spotlights (100W each)
- 1 power socket
Exhibitors must confirm stall type in advance. Shell scheme exhibitors must confirm at least 10
days prior along with the
exact fascia name.

General Stall Guidelines
- Stall allocation is subject to final approval and may be modified or reassigned by the
Organizing Committee.
- Possession timing for setup and dismantling will be communicated closer to the event.
- Stall setup begins on 8th December 2026 at midnight.
- Each stall will receive 1 KW single-phase power; additional or three-phase power is
available at extra cost.
- Only authorized badges will permit entry to the exhibition area.
- A fixed number of badges will be issued per stall.
Booth Construction & Display Rules
- No structure, exhibit, or branding may extend beyond allocated space.
- No modifications (nailing, drilling, painting, wallpapering, or graphics) are allowed on
shell scheme panels.
- Only double-sided tape may be used for branding on Octonorm structures.
- Banners and hoardings must remain within stall boundaries; external displays are not
permitted.
- Exhibition packing material must be cleared by stall owners.
- No promotional material may be pasted in hotel premises.
Safety & Compliance
- All displays must comply with safety, health, bio-hazard, and fire regulations.
- Exhibitors must adhere to venue fire and safety norms.
- Electrical wiring must be concealed, secured, and approved; loose connections are not
allowed.
- Proper plugs must be used to meet fire safety standards.
- Labour staff must wear company uniforms, closed footwear, and safety gear (including helmets
and shoes during setup/dismantling).
- Alcohol consumption and smoking are strictly prohibited within exhibition premises.
Usage Restrictions
- Subletting or sharing of stalls is strictly prohibited.
- Lectures are not permitted within stalls; product demonstrations are allowed.
- Goods displayed must comply with government rules and regulations.
Liability & Responsibilities
- Organizers are not responsible for personal injury, theft, loss, or damage to exhibitor
property.
- Overnight storage of materials is at the exhibitor’s own risk.
- Exhibitors are responsible for booth cleaning after setup through their contractors.
- Any damage to stall structures or materials must be compensated.
Facilities & Services
- Basic shell scheme, electricity, signage, and seating are provided.
- Additional facilities can be arranged through the event manager at extra cost.
- Gate passes must be obtained from hotel management for material movement.
Terms & Conditions
- Stall/partnership allocation is on a first-come, first-served basis, subject to full
payment.
- The Organizing Committee reserves the right to modify, reassign, or reconfigure the
exhibition floor plan as deemed necessary.
- Full payment is required at the time of booking.
- Stall / partnership confirmation will be issued only after total payment is received.
- GST at 18% and other applicable taxes/levies will be charged as per government rules.
- Bank charges must be borne by the exhibitor.
- The Organizing Committee reserves the right to accept or reject applications without
assigning reasons.
- Changes to event plans, venue, layout, or schedule may occur due to unforeseen
circumstances.
- The Organizing Committee is not liable for any indirect associations not aligned with event
objectives.
- All disputes are subject to Indian law under Goa jurisdiction, with arbitration prior to
legal proceedings.
Payment & Documentation
- Payment proof must be submitted to the Conference Secretariat.
- Any remaining balance (if applicable with prior agreements) must be cleared at least three
weeks before the
event.
Cancellation & Refund Policy
- 50% retention for cancellations on or before 30 June 2026
- 75% retention for cancellations on or before 30 September 2026
- 100% retention for cancellations after 1 October 2026
- Non-payment before event commencement will result in automatic cancellation
